Set up your first event.

Keep this guide open next to the app. Follow the steps in order, one click at a time. You do not need to learn everything today.

Have ready: your event name, date, location and emergency contacts. A route file is optional.

Add your race

A race is one distance in your event, such as a 10K.

  1. 1. Open Course under Plan.
  2. 2. In the Races section, click Add race.
  3. 3. Enter a name, distance in kilometres, and start date and time.
  4. 4. Enter realistic paces for your fastest and slowest runners. Pace means minutes per kilometre.
  5. 5. Click Add Race.
  6. 6. If you have a GPX route file, click Upload GPX beside your race and select it. On a phone, look for the upload icon. If you have no route file, choose No GPX / route file when adding the race.

Add a place for a volunteer

A point is a place where someone will work, such as a junction or registration desk.

  1. 1. In Course, click the map where you need a volunteer, or click Add point.
  2. 2. Give the point a simple name.
  3. 3. Check the pin is in the right place and choose the point type.
  4. 4. Link the relevant race and check the distance marker if runners pass this point.
  5. 5. Write what the volunteer should do. Add parking and reporting instructions, then save.
  6. 6. Repeat for the other places that need volunteers.

  2. 2. Click Preview sign-up at the top of your event.
  3. 3. Check the date, shift times, descriptions and waiver.

  5. 5. Click Copy sign-up link at the top of your event.
  6. 6. Paste the link into an email or message to your volunteers.

Team → Volunteers, Roster and Briefs

Check your team and their briefs

As people sign up, check who is working where.

  1. 1. Open Volunteers under Team to see who has signed up.
  2. 2. Open Roster to check their shifts. Expand a shift to see its people and actions.
  3. 3. Use Assign where you need to fill a gap. Review each person’s confirmation status.
  4. 4. Click Brief beside an assigned volunteer.
  5. 5. Check the name, location, times, instructions, parking and contact numbers. Use Team → Briefs to adjust the layout if needed.
  6. 6. Share each volunteer’s personal brief link with that volunteer privately.

Already have a volunteer list? Use Add volunteer, import a list or Add from pool in Volunteers. Waitlisted people do not count as staffing cover.

The finish line for setup

Ready for your first event.

Before event day, check these six things.

  • Event date, location and emergency contacts are correct.
  • Route and working positions have been checked.
  • Every position has the right shifts, dates and headcounts.
  • The volunteer form has been previewed and the public link copied.
  • Assignments and staffing gaps are clear in Roster.
  • A brief for each type of position has been checked.

Leave the advanced tools for later.

You can leave zones and release conditions for later. Before sharing the sign-up link, review enabled emails in Comms → Email. On event day, open Race day → Live to see your team’s status, and use the check-in button to record arrivals.

Want to practise first? Use the separate Demo area on your dashboard rather than making test registrations in a real event.
